Lumiere Boutique Vỹ Dạ—“A Heart of New Hue” by the Như Ý River
Lumiere Boutique Vỹ Dạ is part of the Menas Zone Vỹ Dạ complex, developed by Ariyana Vĩ Dạ Joint Stock Company. Positioned in the upscale boutique segment, the resort’s design draws inspiration from the four seasons—spring, summer, autumn, and winter—across room categories ranging from Superior Rooms to Signature Suites.
Its service ecosystem extends far beyond accommodation. Lumiere operates two restaurants—Lumiere Texas, offering a bold BBQ concept, and Lumiere Byblos, serving refined Hue cuisine—alongside a spa, international-standard pickleball courts, conference facilities, and cruise experiences on the Perfume River.
Every service outlet generates revenue, and every transaction must be accurately posted to the guest folio.
With 174 rooms, multiple rate plans, diverse ancillary revenue streams, and the high service expectations of the upscale segment, Lumiere faced a critical operational question before opening: how could the entire operation be standardized on a single platform from day one, instead of relying on manual processes and moving to a system later?
The Challenge: Implementing a PMS While the Hotel Was Still Under Construction
Implementing a hotel management system for a newly built property is fundamentally different from replacing the PMS of an established hotel with stable operations. Lumiere faced three major challenges simultaneously.
Training in the Middle of a “Construction Site”
The project kick-off in December 2025 coincided with the final construction phase of the resort. Employees had to learn a new PMS while managing numerous pre-opening responsibilities, from setting up model rooms to conducting trial restaurant operations.
Training spaces and equipment were not yet fully available.
Continuous Staff Turnover After Pre-Opening
Following the soft-opening phase, staffing changed frequently. Some employees who had completed training left, while new team members joined without prior knowledge of the system.
A one-off training approach would not have been effective. Training had to be repeated continuously throughout the stabilization period.
Multiple Systems Going Live at the Same Time
Lumiere was not implementing a PMS alone. At the same time, the property was also going live with FAST accounting software, an internal operations system, and the SiteMinder Channel Manager integration.
Four vendors had to remain synchronized. If one party fell behind schedule, the entire implementation chain would be affected.
The real challenge was not simply choosing a PMS. It was about putting the operational backbone in place before welcoming the first guest—while everything around it was still evolving.
The ezFolio Solution: Six Modules for a 174-Room Boutique Resort
ezCloud implemented an ezFolio solution comprising six components, each designed to address a specific operational requirement at Lumiere.
ezFolio PMS—the Operational Backbone
ezFolio consolidates reservations, front-office operations, housekeeping, guest folios, and revenue reporting on a single platform.
Front-office teams can handle check-ins and check-outs, room moves, and service postings to guest folios in real time. Housekeeping updates room status directly on the system, ensuring synchronization across departments.
Management can review occupancy, ADR, and RevPAR immediately after shift closing, without waiting for accounting teams to compile end-of-month reports.
Contactless QR Check-In
Guests can scan a QR code and complete the check-in process on their phones instead of filling out forms at the front desk.
This provides a faster, more modern experience aligned with Lumiere’s upscale boutique positioning. It also allows front-office staff to spend more time welcoming and assisting guests rather than processing paperwork.
SiteMinder Integration—Automated Multi-Channel Distribution
The direct integration with SiteMinder Channel Manager enables Lumiere to distribute room inventory across Booking.com, Agoda, Expedia, and other OTAs.
When the front desk receives a direct reservation, inventory is immediately updated across all connected channels. Staff no longer need to adjust availability manually on each platform, eliminating the risk of overselling.
FAST Accounting Integration—Connected Financial Data
Revenue data from the PMS is automatically transferred to FAST accounting software.
Before the integration, each transaction had to be entered twice—once in the PMS and again in the accounting system. After integration, data flows automatically in one direction, eliminating duplicate data entry between the front office and accounting teams.
This was the most technically complex integration in the project.
ezInvoice—E-Invoicing Integrated with the PMS
Electronic invoices can be issued directly from the PMS without re-entering transaction data into a separate invoicing system.
Every eligible folio transaction can be invoiced immediately.
Inventory Management for Restaurants, Spa, and Other Services
The inventory module tracks stock levels, purchase orders, and transaction histories to support the operations of Lumiere’s two restaurants, spa, and other ancillary services.
The Implementation Process: From Kick-Off to Go-Live in Four Weeks

| Phase | Timeline | Key activities |
|---|---|---|
| Kick-off and assessment | December 2025 | Process review, system configuration, and setup of room and rate categories |
| Training and UAT | December 2025–January 2026 | Department-specific training and end-to-end testing with real operational data |
| Go-live | January 2026 | Official system launch with on-site support |
| Stabilization and integration | January–July 2026 | Optimization of FAST and SiteMinder integrations and additional training for new staff |
| Final acceptance | July 2026 | Final acceptance of the complete system after all integrations had stabilized |
Why did the PMS go live in four weeks while final acceptance took seven months?
The reason was not the PMS itself. ezFolio went live on schedule. The extended timeline resulted from the synchronization required between FAST accounting software and other third-party systems. Each vendor followed its own timeline, and the project could only be fully accepted once the final link in the integration chain had stabilized.
The ezCloud team provided Vietnamese-language support and on-site assistance in Hue, following a rolling training approach. Whenever new employees joined, training was repeated to ensure that every team member could use the system correctly, regardless of when they entered the organization.
Implementation Results: Standardized Operations from Opening Day
For a newly opened resort, the greatest value cannot simply be measured by the number of minutes saved. It lies in Lumiere having standardized operational processes from the very first day it welcomed guests.
One Operational Platform from Day One
Front office, housekeeping, inventory, e-invoicing, and QR check-in all run through ezFolio.
There was no period of operating manually and moving to a system later, and no fragmented data across departments.
Elimination of Duplicate Data Entry Between Front Office and Accounting
Revenue data from the PMS is automatically transferred to FAST. Each transaction only needs to be entered once, reducing errors during end-of-day reconciliation.
Automatic OTA Inventory Updates
When the front desk receives a direct booking, inventory on Booking.com, Agoda, Expedia, and other connected channels is updated immediately.
No additional manual action is required, minimizing the risk of overbooking.
A Modern QR Check-In Experience from Opening Day
Guests can complete check-in procedures on their phones. Front-office employees can focus on welcoming guests instead of processing paperwork—meeting the service expectations of the upscale boutique segment.
Rolling Training Instead of a “Train Once and Leave” Approach
With frequent staff changes following the pre-opening phase, ezCloud repeated the training process whenever new employees joined.
This ensured that all team members could operate the system correctly, regardless of their starting date.
“An upscale boutique resort like Lumiere Boutique Vỹ Dạ sets exceptionally high standards for both operations and guest experience. Bringing the system into operation quickly and reliably reflects exactly what ezCloud strives to deliver: a platform with the operational depth required by the hospitality industry, yet flexible enough to support customers from day one—backed by an implementation and support team based in Vietnam.”
